01 / PROJECT SETUP

Your reserve is part of the total budget, not an extra amount. Set the maximum you can afford; all currency amounts use the same units.

Add your first cost line, or load the sample to explore a realistic project.

03 / COMPARE CONTRACTOR QUOTES

All-in comparable quote = base + separately charged materials + permits/disposal + tax/other. Enter only costs not already included in the base.

04 / CONTROL SCOPE CHANGES

Only approved change orders affect your revised forecast. Negative changes represent negotiated savings or removed work.

05 / RECORD REAL PAYMENTS

Payments are recorded separately from estimates and quotes, so a deposit is never counted as an additional project cost.

How to use this tool

Enter your renovation budget and reserve, then add each planned work item with an original estimate. Compare contractors using their all-in quotes, accept a bid to update the committed price, log approved or pending changes separately, and record actual payments. Review projected total versus your budget ceiling, then print a project report or export CSV and an editable JSON backup.

Quick steps

  1. Set your total renovation ceiling, currency and contingency percentage, then create room-by-room cost lines.
  2. Compare normalized contractor bids for identical work scopes, choose a commitment, and separately approve or reject changes.
  3. Track real deposit and invoice payments, review the revised forecast, then print or export the complete ledger and a secure backup.

Practical tip

Separate the total ceiling from the contingency held within it. Ask bidders to identify excluded materials, permits, tax and disposal before comparing prices. Only log deposits as payments, not as new work items. Confirm every invoice, approved change and contract against the original paperwork, and keep your JSON backup private.

Common questions

Is this home renovation budget planner really free?

Yes. All budget, contractor quote, change order, payment and export features work without registering, subscribing or paying for an API. Files are generated in your own browser.

How do I track home renovation costs versus the original estimate?

Create one work item per room, phase or trade. Enter an original estimate and optionally a committed price after accepting a quote. The summary shows the original total, revised forecast including approved changes, actual payments, and the remaining budget headroom.

Can I compare quotes that exclude materials or permit costs?

Yes. For each budget item, record a base quote and any separately charged materials, permit or disposal fees, tax and other extras. The tool calculates the all-in total and identifies the lowest entered total, without claiming that differing scopes are equivalent.

How does contingency work in this remodel budget tracker?

The percentage is reserved inside the total project ceiling. A budget of $30,000 with a 15% reserve leaves a $25,500 working allowance and holds $4,500 within the same total for unexpected costs.

Will recording a deposit inflate my renovation forecast?

No. Payments are a separate ledger. A deposit reduces the unpaid portion of the forecast but does not increase the projected cost of that work. The dashboard flags payments exceeding their related forecast.

Do pending change orders affect the budget?

No. Only approved changes are included in the projected finish cost. Pending and rejected variations remain visible separately for review, and approved cost reductions can use negative amounts.

Can I export renovation expenses to Excel and print a PDF?

Yes. Download budget, quotes, payments and changes as separate CSV files for spreadsheet applications. Print / Save PDF opens your browser's print dialog with a complete project report. An editable JSON backup restores all project records.

Does this tracker calculate local building costs or permit fees?

No. It uses only prices you provide and does not obtain contractor quotes, materials prices, taxes or permit requirements. Confirm local requirements and professional credentials independently.

Can I use this planner on my phone and without an account?

Yes. The responsive app works in a modern mobile or desktop browser. Your entries can be saved in that browser, but there is no automatic sync. Download and securely transfer a JSON backup to continue on another device.

Are my renovation expenses uploaded?

The planner processes and stores project records locally in your browser when storage is available. Advertisements and normal site requests are separate, and clearing site data can remove the draft; always keep an independent backup.

Renovation budget tracker: estimates, contractor quotes, change orders, payments

A renovation usually has four different numbers that are easy to confuse: the original estimate, the price accepted from a contractor, extra work approved later and the cash already paid. PackFormulas keeps each separate. This free home renovation budget planner is useful for kitchen remodels, bathroom renovations, apartment refurbishment, extensions and multi-room work. It works without a paid subscription or account.

Worked example: why the lowest quote may not be cheapest

Suppose Contractor A quotes $4,000 including materials, tax and disposal, while Contractor B quotes $3,500 but excludes $450 in materials, $200 in disposal and $150 in tax. Their comparable totals are $4,000 and $4,300 respectively. Enter every excluded amount in the separate quote fields; compare all-in prices for the same work scope before accepting a bid. If a scope exclusion is unknown, ask the contractor instead of entering an invented zero.

Understand the forecast and contingency reserve

For each cost line, the current forecast uses the committed price if one has been entered, otherwise your original estimate. Approved change orders are then added or subtracted. A pending or rejected change has no effect. The forecast is not a promise: it leaves out work you have not recorded and any unexpected future costs. If you set a total ceiling of $30,000 with a 15% contingency held inside it, the working allowance before that reserve is $25,500. The reserve is not an additional $4,500 above the ceiling.

Payments are not another expense

A $1,000 deposit on $5,000 of contracted work is $1,000 paid toward that commitment, not a $6,000 expense. The dashboard shows the latest predicted project cost and separately totals payments made to date. It also highlights when payments exceed the relevant forecast, when a receipt reference appears more than once and when a project may exceed its funding ceiling.

How to compare a bid fairly

  1. Make a separate budget line for each comparable work package.
  2. Enter all bidders' base prices and the extra amounts missing from each quote.
  3. Confirm whether materials, taxes, permits and disposal are included.
  4. Click Use quote when you accept a bid; the corresponding budget commitment updates without counting the quote twice.
  5. Record deposits and final invoices as payments, and track agreed variations as approved change orders.

Privacy, backups and printable renovation records

Budget, contractor and payment details are processed in your browser, not sent to PackFormulas' application server. The website and advertisements may make separate network requests described in the privacy policy. Local browser data can be erased, so export JSON backups regularly and store them privately. CSV files open in common spreadsheets; your browser's Print or Save as PDF option creates a summary including the cost ledger, quotes, approved changes and payments. Data does not synchronize between devices, and importing a backup replaces existing records.

Limits worth knowing

This tool does not automatically estimate local materials, tax, permit fees, contractor availability or building-code requirements. It does not validate invoices, provide legal or financial advice, or determine whether contractors are licensed and insured. Enter costs in one currency and check every contract, scope, tax assumption, deposit and receipt against the actual paperwork.
