How to use this tool

Name your event and add guests individually, by pasted list or a spreadsheet CSV. Mark each RSVP and meal choice, create tables with real capacities and assign confirmed attendees with a dropdown or drag-and-drop. Use group-aware auto-seat for unassigned guests, review readiness warnings, then export guest and catering CSV files, printable PDF reports or an editable JSON backup.

Quick steps

  1. Create an event and import or enter your RSVP list with groups, meal choices and optional notes.
  2. Add tables and assign confirmed people using the table selectors, drag-and-drop or group-aware auto-seat.
  3. Review unseated guests and group warnings, print the right report and download an editable JSON backup.

Practical tip

Only confirmed guests occupy table seats, but verify pending invitations before printing. The auto-seat option does not divide family groups when there is no room, and it never changes earlier placements. Confirm special meal instructions, access needs and venue layout independently. The browser draft is not synchronized: export a backup.

Common questions

Can I make a free wedding seating chart with no account?

Yes. Add guests and tables, auto-assign groups, print rosters, A–Z lists and table signs, and export CSV or JSON without registering or paying.

Can I import a guest list from Excel or Google Sheets?

Yes. Save your spreadsheet as CSV with a Name header; optional columns are Group, RSVP, Meal and Notes. The import adds to the current plan and supports quoted commas.

Can I automatically seat families together?

The group-aware helper tries to fit confirmed unassigned guests with the same group on one table. It keeps earlier assignments, and leaves unplaceable groups unassigned instead of splitting them silently.

How do you count wedding RSVPs and seats?

Only guests marked Attending are eligible for assignment. Pending, Maybe and Declined replies remain in the list without occupying a chair. The dashboard separates confirmed, seated and unseated counts.

Can I create a printable alphabetical seating chart?

Yes. Choose Alphabetical table finder and use Print / Save PDF in your browser. Other reports include table rosters, catering handoffs and individual table signs.

Does it include meal planning for caterers?

Each confirmed guest can have a meal choice and a note. The planner summarizes meal selections and offers a catering CSV and printable report with table assignments.

Does the tool draw a measured room floor plan?

No. It is a table-level seating planner with reorderable visual table cards, not to-scale venue geometry or numbered chairs. Check the physical layout with your venue.

Is guest data uploaded to a server?

Planning data and backups are handled locally in your browser. Browser storage does not automatically sync; any downloaded CSV or JSON with names or meal notes should be shared securely.

Can I use the planner on a phone?

Yes. Table dropdowns work with touch and keyboard, while drag-and-drop offers an additional desktop interaction.

Wedding guest list and seating chart maker — free, printable and private

Weddings and banquets need more than an empty seating chart template: attendance changes, families want to sit together, and caterers need accurate meal totals. This tool combines a guest list, RSVP tracker, table assignments and printable reports without requiring a signup or paid API.

How to plan your table seating

  1. Enter the event name and add people individually, in bulk, or from a CSV spreadsheet with Name, Group, RSVP, Meal and Notes headers.
  2. Mark RSVPs accurately. Only confirmed attendees occupy seats and contribute to meal totals.
  3. Add the venue's real table capacities. Assign people with accessible dropdowns, drag onto table cards, or use group-aware auto-seat.
  4. Review capacity, unseated people, duplicate names and group splits. Confirm dietary information and accessibility with your venue and caterer.
  5. Print a table-by-table coordinator roster, alphabetical entrance finder, catering report or individual table signs, and download CSV and JSON backups.

Worked example: 36 people at four tables

Four tables of ten provide forty chairs for thirty-six confirmed guests, leaving four free chairs. Yet a twelve-person family cannot sit together at any table with ten seats. The group-aware helper leaves them unassigned rather than splitting their group without permission. Manual assignments let you override this preference if appropriate.

How the printable reports help

The table report shows attendees at each table and those still waiting. The A–Z report is suitable for an entrance check-in desk. Caterer handoffs summarize meals and supplied dietary notes by table, and individual table signs print separately. Select Print / Save PDF in the browser. CSV exports are spreadsheet-compatible; JSON keeps the editable project.

Privacy and limitations

Work is processed locally in the browser and saved in local storage where available. Clearing browser data can erase it, so keep a backup. CSV and JSON contain names and possibly dietary details; send them securely only to people who need them. Copy anonymous summary excludes names. The visual table cards are not a measured room layout or numbered individual chairs; confirm safe circulation and accessibility with your venue.

Questions people ask

Can I print a free wedding seating chart without an account?

Yes, with no watermarks or paid exports. Use your browser's print dialog for PDF or paper.

Can I import an Excel guest list?

Yes. Export CSV with a Name header and optional Group, RSVP, Meal and Notes columns. Quoted commas are supported.

Does auto-seat keep families together?

It groups confirmed unassigned people using your group labels. If a whole group cannot fit at a table, those members remain unassigned for manual review.

Does it work on a phone?

Yes. Table selection works with touch and keyboard; desktop drag and drop is optional.
